Online Auction Items Updates

Greetings,

As many of you are aware, San Jacinto College (SJC) is now using an online auction service to dispose of surplus property items.  The online auction service has given SJC the ability to earn greater revenue and the opportunity to streamline and update procedures.  One of the processes that Auxiliary Services modified is the procedure that removes items from a department and into the auction cycle.

As a result of our transition to the online auction system, the auction form, instructions and work flow have been modified.  The mentioned links are PDF files for the new form, instructions and flow chart to be utilized by employees when disposing of surplus property; please delete any old forms to avoid confusion.  The revised forms have replaced the former on the internal website.

When reviewing the new form and instructions, please note that there have been significant changes in the routing of the form.  Auction forms will now move more directly and speedily throughout the process in an effort to have items removed quickly and placed up for auction in a timely manner.

Along with new procedures for action items, we will now be able to give staff members the opportunity to re-purpose items before items are auctioned.  If an item is in good working condition and can be reused on campus, surplus property will be placed on the public drive to be viewed and selected for reuse.  Available items will be placed within a MS Access file along with an instruction sheet in the (P:) Surplus Property folder.  Currently this folder is empty because there are no items that meet the re-purpose criteria.  Periodic emails will be sent to employees as items become available.

When requesting a repurposed item, please be aware that many items will need the approval of the Campus Dean of Administration.  This approval is needed to maintain furniture standards along with other facilities requirements.  Once items have been selected and approved, we will work with Maintenance in order to have items moved quickly.
